FAQ
Answers to the questions clinics ask us most
What front desks, practice managers, and physicians want to know before putting Eva to work - compliance, setup, oversight, patients, and pricing.
Compliance & security
Yes on both counts. DeskShifts runs a SOC 2 certified, HIPAA-compliant program and signs a BAA with every clinic. Every AI provider in our stack - Google Cloud and Anthropic included - is under a signed BAA as well, so your patient data is covered end to end. Each engagement additionally carries $1M in cyber liability coverage.
Doing your clinic's work means handling PHI, and we protect it the way your practice does. It stays yours: we touch only the minimum necessary, write results back into your EHR, and never train AI on your identifiable patient data. Everything is encrypted in transit and at rest on secure, US-based infrastructure, behind least-privilege access, multi-factor authentication, and full audit logging.
Your clinic - fully, and at every moment. We operate as a business associate under the BAA: PHI is processed only to run your workflows, results land back in your EHR, and nothing is ever sold or shared beyond what the agreement allows.
Never. PHI exists in our systems for one purpose: getting your clinic's work done. Our BAAs with every AI provider in the stack explicitly rule out training on client data.
Everything runs onshore, in the United States, on Google Cloud. No PHI touches offshore systems at any point.
Eva signs in the same way a new staff member would - through your normal login flow, VPN and two-factor authentication included where you use them. No third-party API ever connects to your EHR, so nothing new is exposed. And every action she takes is logged and reviewable.
Getting started
Phones, prior auths, and referral work outside the EMR usually go live within a week. Full two-way EMR work lands in about a month - with zero IT lift on your side.
You get a dedicated DeskShifts engineer for the first month, on-site or remote, who learns your workflows, your scheduling rules, and how your team actually does the work day to day. Weekly check-ins carry through go-live and keep going after it.
If your team can run it in a browser, so can Eva. eClinicalWorks, Epic, athenahealth, NextGen, Elation, Tebra, Office Ally, Oracle Health, and others - no API needed. She logs in with her own credentials and drives the same screens your staff do. Not seeing yours? Ask us - the answer is usually yes.
No. Eva uses a standard user login on hardware your clinic controls, moving through your normal authentication flow. Because she's a standard user rather than a bolted-on integration, Epic's vendor integration restrictions don't come into play.
How Eva works
No. Eva runs on computer-use AI agents that actually read and understand what's on screen at each step, the way a person does. When your EMR ships an update and a button moves, her work keeps flowing - there's nothing to re-script.
Yes. Eva begins with training wheels on: every write waits for human approval before it reaches the EMR. From your dashboard you set confidence thresholds - what runs on its own, what gets flagged. Most clinics loosen the gate after two to three weeks. On the phones, the moment a patient asks for a person, or Eva hits something she can't resolve, the call moves to your staff.
The deterministic work - reading faxes, entering demographics - runs at near-perfect accuracy. Anything ambiguous, like an unclear procedure code or a conflicting insurance record, gets flagged instead of guessed. Clinics typically start above 90% accuracy and climb toward full accuracy within two to three weeks as Eva picks up your clinic's specifics.
Her work queues for staff review and approval before it touches the EMR or a patient, with autonomy set per workflow. On top of that, DeskShifts carries $1M in technology errors & omissions and cyber liability coverage with an AI endorsement - and we'll issue a certificate specific to your clinic.
The DeskShifts dashboard shows it all live: what's done, what's pending, what's flagged, plus daily counts of calls, faxes, and prior auths. Anything unresolved surfaces right away, and Eva can message your team directly inside your EMR inbox.
Patients & staff
Fewer than 2% ever guess. Patients regularly comment on Eva's patience and warmth, and anyone who asks for a person is handed to your staff on the spot. Test it yourself: call her at (980) 227-3132 and see if you can tell.
Yes. Each patient-facing call opens with a clear disclosure that the call is automated, placed on your clinic's behalf, and recorded. The wording was worked out with legal counsel, and we tailor it with your clinic.
She does. Eva handles calls natively in Spanish, Portuguese, Hindi, Gujarati, Korean, Russian, and more - and both her name and her voice can be tuned to your practice's preference.
That call is yours to make. Most clinics use Eva to grow without hiring - the team moves off phones, fax sorting, and data entry and onto collections and patient care. Some choose to trim overhead instead. Either way, no call hits voicemail and no referral sits unread.
Pricing & contracts
You pay for the work Eva actually does - calls, faxes, prior auths - not per-seat licenses that multiply as you grow. There's a one-time implementation fee, and contracts run annually, billed monthly. Adding workflows later never triggers change fees, and if your volume shifts significantly, the contract includes good-faith renegotiation.
A 30-day money-back guarantee is written into every contract - no conditions, no clawback fine print. Nobody has ever needed to use it.
You're protected two ways by design: the 30-day guarantee takes the risk out of trying, and because Eva works inside your own systems, your data never leaves your control. There's no integration to unwind - which means there's no lock-in.
We've raised $2M from venture investors including Nexus Venture Partners, alongside angels from Google and other technology companies. The 10-person team spans engineers from top universities and a founder with a previous exit. We work with a double-digit number of practices and were recently featured in Forbes.
Physician testimonials and case studies are right on the site - including a Texas GI practice that worked through a 640-referral backlog in three weeks. When you're deeper into evaluation, we'll set up live reference calls matched to your specialty and your EHR.

Bring your real numbers. We'll play the screen recording, run the ROI math on your practice on the spot, and give you an honest answer on fit.
